02  What we need

What to tell us

A few details, ideally a few working days ahead. If it is tomorrow, call anyway.

  1. Who and when. Their name, role and start date.
  2. What they use. The software, shared mailboxes, folders and printers their job needs.
  3. Their equipment. Whether they are getting a new computer, taking over an existing one, or using their own.
  4. Who looks after them. The manager who should receive anything we cannot finish before day one.
03  Leavers

When someone leaves

Setting a person up is half the job. When someone leaves, their access should end the same day: sign-in blocked, sessions signed out, mailbox and files passed to the right person, licence removed or reassigned, and any devices accounted for.

It is the part most small businesses forget, and it is how former staff end up with access months later. We can handle it as a once-off job, working to a checklist so nothing is missed.

04  Day one

What we confirm before they arrive

Setup is only finished when the person can actually work.

  • They can sign in, and multi-factor authentication works on their phone
  • Email arrives on their computer and their phone
  • They can open the shared folders and files their role needs
  • The printer prints, and the right shared mailboxes are visible
  • Teams and the software they use are installed and open
  • The computer is updated and protected, with nothing left to install
05  Managed onboarding

Doing this regularly?

If employees are joining and leaving regularly, onboarding should become a managed process rather than an individual IT job each time.

Common questions

A few working days makes it smooth, because we can prepare and test everything before the person arrives. If someone starts tomorrow, call us — we will tell you what we can get done in time.

The account side — Microsoft 365 user, licence, email, MFA and access — is done online and works anywhere. Configuring a physical computer needs it in our hands at the workshop or onsite.

We can, but we will tell you up front what that means for security and for getting company data back off it when they leave. Often a supplied business computer is the simpler answer.

Tell us where. We can prepare the account and equipment and arrange the setup onsite where we work, or remotely for the rest. If you are opening additional locations, you may be ready for the managed option.
