Privacy Policy

How Afford IT collects, uses, stores and protects your personal information, in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Who we are

This policy applies to Afford IT (ABN 61 664 294 482), a computer repair and IT support business operating from Level 2, 49 Station Road, Indooroopilly QLD 4068, and servicing homes and small businesses across South East Queensland.

In this policy, "we", "us" and "our" mean Afford IT. "You" means any person whose personal information we hold, including customers, prospective customers and website visitors.

We are bound by the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) contained in it. This policy explains how we meet those obligations.

2. What personal information we collect

We collect only the information we reasonably need in order to provide, bill for and support our services. Depending on how you deal with us, that may include:

  • Contact and identity details — your name, phone number, email address, and the service address where work is to be carried out.
  • Job and service information — the fault reported, the make and model of your device, work performed, parts supplied, technician notes and job history.
  • Billing information — invoices issued, amounts paid, and payment method. We do not store full card numbers; card payments are handled by our payment provider.
  • Communications — emails, text messages, contact form submissions and notes of phone calls with you.
  • Website usage information — pages viewed, approximate location derived from IP address, device and browser type, referring website, and interactions such as clicks on phone numbers or booking links. See section 8.

3. Information we may access on your devices

This section matters more in our line of work than in most, so we want to be explicit about it.

Repairing a computer, recovering data, removing malware or setting up email can require our technicians to access the contents of your device. In the course of that work we may see files, photographs, emails, browsing history, saved passwords and other personal or sensitive information stored on the device.

Our commitments to you:

  • We access only what is necessary to diagnose and complete the work you have asked us to do.
  • We do not copy, retain, transmit or disclose the contents of your device except where it is a necessary part of the service (for example, transferring your files to a new computer, or creating a backup at your request).
  • Where we create a temporary copy of your data in order to perform the work — such as during data recovery or a data transfer — we securely delete that copy once you have confirmed the work is complete, unless you ask us in writing to retain it.
  • We may ask you for a device password or PIN. You are not obliged to provide it, but some work cannot be completed without it. You may change any password you have shared with us once the work is finished, and we recommend that you do.
  • Our technicians are bound by confidentiality obligations as a condition of their employment.

If we encounter material during a repair that we are legally obliged to report to a law enforcement agency, we will comply with that obligation.

4. How we collect personal information

Wherever it is reasonable and practicable, we collect personal information directly from you — when you call us, email us, submit a form on this website, make a booking, or speak with a technician.

We may also collect information from third parties in limited circumstances, such as when a family member books a service on your behalf, when a strata or property manager arranges work at your premises, or when a business customer provides details of its staff so that we can support their devices.

Some information is collected automatically when you visit this website, as described in section 8.

5. Why we collect it and how we use it

We use personal information for the following purposes:

  • To identify you and communicate with you about a job or enquiry
  • To schedule, perform and complete the services you have requested
  • To quote, invoice and collect payment
  • To maintain a service history so that repeat and warranty work can be handled properly
  • To respond to questions, complaints and warranty claims
  • To meet our legal, tax and record-keeping obligations
  • To understand how our website is used and improve it

We do not sell personal information. We do not disclose personal information to third parties for their own marketing purposes.

If we send you marketing communications, every message will include a simple way to opt out, and we will act on an opt-out request promptly. You can also opt out at any time by emailing support@affordit.com.au.

6. Who we disclose information to

We disclose personal information only where it is necessary to run the business. The categories of recipient are:

If the business is sold or transferred, customer records may be disclosed to the purchaser as part of that transaction. Any purchaser would be required to handle that information in accordance with the Privacy Act 1988.

7. Overseas disclosure

As set out in the table above, some of our service providers store or process data outside Australia, principally in the United States. Before disclosing personal information to an overseas recipient we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles, including by relying on the provider's published privacy and security commitments and contractual terms.

By using this website or engaging our services, you acknowledge that information may be handled by these providers outside Australia.

8. Cookies, analytics and website measurement

This website uses Google Analytics and Google Tag Manager to understand how visitors use the site. These tools set cookies and collect information such as the pages you visit, how long you spend on them, the approximate geographic region derived from your IP address, and interactions such as clicking a phone number, an email link or a booking button.

This information is used in aggregate to improve the website and to understand which services people are looking for. We have enabled IP anonymisation and we do not use analytics data to identify individual visitors.

You can control or block cookies through your browser settings, and you can opt out of Google Analytics entirely by installing the Google Analytics Opt-out Browser Add-on. Blocking cookies will not prevent you from using this website.

We do not run advertising on Google Ads or Microsoft Advertising, and we do not use this website to build advertising audiences for third parties.

9. How we store and secure information

Customer records are held in our job management system and our email system, both of which are access-controlled and require authentication. Paper records, where they exist, are held securely at our Indooroopilly office.

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Those steps include restricting staff access to what each role requires, using multi-factor authentication on business systems, and keeping our own systems patched and protected.

No method of transmission or storage is completely secure. If we become aware of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

10. How long we keep it

We keep customer and job records for seven years after your last dealing with us, which reflects our taxation and business record-keeping obligations. Warranty and service history is retained for that period so that we can honour warranty claims and handle repeat work properly.

Temporary copies of customer data created during data recovery or data transfer work are deleted once the job is confirmed complete, as described in section 3.

When personal information is no longer needed for any purpose for which it may lawfully be used, and we are not required by law to retain it, we destroy it or de-identify it.

11. Accessing and correcting your information

You have the right to ask for access to the personal information we hold about you, and to ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.

To make a request, email support@affordit.com.au or call 1800 851 816. We may need to verify your identity before we release information.

We will respond to an access or correction request within 30 days. There is no fee for making a request. If a request requires substantial work we may charge a reasonable cost-recovery fee, and we will tell you what that is before proceeding.

If we refuse a request, we will tell you why in writing and explain how you can complain about that decision.

12. Complaints

If you believe we have mishandled your personal information or breached the Australian Privacy Principles, please tell us first so that we have the opportunity to put it right.

  1. Contact us. Email support@affordit.com.au with "Privacy complaint" in the subject line, or call 1800 851 816. Please describe what happened and what outcome you are seeking.
  2. We acknowledge. We will acknowledge your complaint within 5 business days.
  3. We investigate and respond. We will investigate and give you a written response within 30 days. If we need longer, we will tell you why and agree a new timeframe with you.
  4. Escalation. If you are not satisfied with our response, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au, by phone on 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.

13. Anonymity

You may deal with us anonymously or under a pseudonym when making a general enquiry. However, we cannot attend a service address, complete a booking, issue an invoice or honour a warranty claim without knowing who you are and where the work was performed.

14. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always available at this address, and the "last updated" date at the top of the page shows when it last changed. Material changes will be highlighted on this page.
